RFP software compared, for firms that write services proposals

Most RFP tools are excellent at what they were built for. The right one depends on what your bids look like: security questionnaires and short answers from a sales team, or long, scored services proposals from the people who will deliver the work. Here is an honest map.

Start with what your bids actually look like

If most of your volume is security questionnaires, due-diligence questionnaires and short-answer RFPs handled by a sales or proposal team, look hardest at tools built around an answer library, portal filling and spreadsheet import and export. Several of the tools below are built for exactly that, at real scale.

If you are a consultancy, the weighting changes. The score sits in narrative sections — approach, methodology, team, plan — written against the buyer’s exact requirements and page limits. Every claim about your firm has to be provable. Pricing comes from your rate cards. And if you win, your own people deliver what the proposal promised, so the requirements need to survive the handover.

So the questions worth asking any vendor are: does it keep the buyer’s requirements word for word? Does every paragraph about us point to a source we approved? What happens when there is no source? Can it fill the buyer’s own forms? Where do prices come from? And what happens after we win?

Where Reqify fits — and where it doesn’t

Reqify Bids is built for consultancies answering services RFPs: IT and software implementation (including Microsoft Dynamics 365 partners), contact centre modernisation, management consulting and public sector work in Canada, the US and the UK. It reads the pack into a verbatim compliance matrix, drafts each section from your content library with a checked citation behind every paragraph, turns anything unsourced into an “SME needed” ask, fills the buyer’s Excel forms, prices from approved rate cards, and — on a win — drafts the Statement of Work and carries the requirements into delivery documents in the same project.

It is not the right tool if your main need is security-questionnaire automation or answering inside procurement portals: Reqify fills Excel forms only (Word, PDF and CSV forms are completed by hand) and doesn’t submit on your behalf. If that is your workload, the questionnaire-focused tools below are a better match.

On 2 October 2026 we didn’t find rate-card pricing, or turning a won bid into a Statement of Work and delivery documents in the same project, on any of the other vendors’ sites (QorusDocs does list SOWs as a document type). We may have missed something — the table describes what each vendor emphasises, not everything its product can do.

We read each vendor’s own home, product and pricing pages on 2 October 2026 and paraphrased how each describes itself. We only list prices a vendor publishes. Where we didn’t see a feature, we say nothing about it rather than claim it is missing.

Which RFP software is best for security questionnaires?+

Reqify isn’t built for security-questionnaire automation. Loopio, Responsive, AutoRFP.ai and Inventive all describe security questionnaires as a core use on their own sites, so start your shortlist there.

How much does RFP software cost?+

Of the vendors above, as of 2 October 2026: AutoRFP.ai publishes $899 and $1,299 a month billed yearly, Responsive’s Emerging edition starts from $10,000, Inventive starts from $10K a year, and Loopio, QorusDocs and Thalamus quote on request. Reqify Bids is included on Professional ($79 a month, 1 active bid) and Team ($149 a month, 5 seats and 5 active bids).

Does Reqify answer procurement portals or submit for us?+

No. Reqify fills Excel questionnaires and pricing forms in a copy of the buyer’s workbook and builds the submission package; you submit it. Word, PDF and CSV forms and online portals are completed by hand.
