RFP response software for services proposals
RFP response software for firms that sell expertise, not boxes
Reqify Bids reads the RFP pack into a compliance matrix, drafts each proposal section from your approved content library with a checked citation behind every paragraph, fills the buyer’s Excel forms, and — when you win — carries the requirements straight into delivery.
- Sample bid free on every plan
- Requirements quoted word for word
- Branded Word volumes
- Data stays in your region
A services proposal is an argument, not a questionnaire
When a consultancy answers an RFP, most of the score sits in narrative sections: the approach, the methodology, the team, the implementation plan, the relevant experience. Each one has to answer specific requirements, follow the buyer’s prescribed structure and stay inside a page limit — and every claim about your firm has to be something you can actually stand behind.
The week usually goes on the same things. Someone reads a 90-page pack and copies the requirements into a spreadsheet by hand. Someone else hunts through old proposals for the case study that almost fits. Subject-matter experts get vague requests late. The buyer’s Excel questionnaire and pricing form are filled at midnight. Then an addendum lands and nobody is sure which requirements changed.
General-purpose AI makes the drafting faster and the risk worse: it writes fluent capability claims, certifications and dates that nobody in your firm supplied. In a scored public-sector or enterprise evaluation, one invented claim can cost the bid — or the contract after it.
How Reqify Bids drafts a proposal you can defend
Start by uploading the solicitation pack — the RFP, attachments, pricing forms, addenda and published Q&A as Word, PDF or Excel — and clicking Read the RFP. Reqify builds the compliance matrix with every requirement copied word for word from the buyer’s document and checked against it, and fills in the key dates, submission rules and evaluation criteria.
Proposal sections are then written from three labelled sources: the buyer’s RFP (used only to say what is required, never as proof of what your firm can do), your approved content library, and the bid project’s own documents. Every paragraph lists the passages it relied on, and every quote is checked word for word against its source. Where nothing supports a point — a go-live date, a reference, a price — the draft says “SME needed:” and names exactly what an expert must supply.
Reviews, forms, pricing and submission live in the same bid. Pink, Red and Gold mock evaluations score the draft like an evaluator would while people sign each gate off; the buyer’s Excel forms are filled in a copy of their own workbook; pricing comes from one approved workbook; and the submission checklist is built from the RFP’s own rules. When you win, the same project starts delivery.
What a consultancy gets from Reqify Bids
A verbatim compliance matrix
Every requirement, instruction and evaluation criterion in the buyer’s own words, with clause and page. Mandatory and rated items, owners and status in one grid, exported as a branded Excel workbook.
Cited drafts, honest gaps
Sections written from your library and project with a checked citation behind every paragraph. Anything unsourced becomes an SME ask, and figures no cited source states are flagged.
A content library with client walls
Approved answers, case studies, people and credentials, each with an owner and a review date. Client-confidential records are used only in that client’s bids; expired credentials are left out.
The buyer’s own Excel forms
Questionnaires and pricing forms filled in a copy of the buyer’s workbook. Formula cells, dropdowns and formatting stay as the buyer made them.
Checked before it goes
A submission checklist from the RFP’s rules. Blockers — an unanswered mandatory requirement, an open SME ask, an unacknowledged addendum — clear only when the problem is fixed.
From the win into delivery
Record the win and start delivery in the same project. Reqify drafts a Statement of Work whose clauses list the requirement numbers they come from.
From the RFP pack to a submitted response
- Step 1
Read the RFP
Upload the pack and click Read the RFP. Requirements, key dates, submission rules and evaluation criteria land in the bid; deadlines stay in the RFP’s own time zone.
- Step 2
Decide bid or no-bid
Score weighted criteria, check the knockouts and record who decided and why — before the team spends a week on it.
- Step 3
Set the win strategy
Hot buttons, win themes with proof from your library, discriminators and a value proposition. AI can suggest one; nothing is saved until you edit it.
- Step 4
Draft with citations
An outline in the RFP’s own order and headings, then sections drafted from cited sources, with owners, due dates and page limits.
- Step 5
Review, price and submit
Pink, Red and Gold mock evaluations, the buyer’s forms filled, pricing approved and locked, then one zip of Word volumes named the way the buyer asks.

RFP response software FAQ
What is RFP response software?+
RFP response software helps a supplier answer a request for proposal: reading the solicitation, tracking requirements and deadlines, reusing approved content, drafting the response and assembling the submission. Reqify Bids is built for services proposals — the narrative, scored sections a consultancy writes — rather than only short questionnaire answers.
Will the AI make up capabilities or experience?+
It is built not to. Anything a draft says about your firm needs a passage from your content library or the bid project behind it; the buyer’s RFP is only ever used to say what is required. Every quote is checked word for word against its source and dropped if it isn’t there. Where no source supports a point, the draft says “SME needed:” and names what an expert must supply, and Gold sign-off and the final export are blocked while any SME ask is open.
Which documents can it read?+
RFPs, RFQs, RFIs, tenders, SOQs and EOIs as Word, PDF or Excel files — the main document, attachments, pricing forms, addenda and published Q&A. Reading is tuned for IT and software implementation, contact centre modernisation, management consulting and public sector bids in Canada, the US and the UK, including US Section L and M.
What do we hand in at the end?+
One zip with every proposal volume as a branded Word document, the completed buyer’s forms and the approved pricing workbook, named the way the RFP asks. Reqify doesn’t submit on your behalf — you send the response and record when and how.
What does a bid cost?+
Bids uses your plan’s document allowance. The first read of a bid uses 10 documents and covers every later re-read, the outline, one first draft per section of the first outline plus 3 spare, and the first answers to up to 1,000 rows of the buyer’s forms. A re-draft uses 1 document per section. Failed runs are refunded automatically; strategy suggestions, mock reviews, pricing and exports use none.
Which plans include Bids?+
Professional includes 1 active bid at a time, Team 5 and Enterprise unlimited; submitted, won, lost or closed bids don’t count. Every plan, the free trial included, can open the finished sample bid for free.
Can one client’s material end up in another client’s proposal?+
Not if you mark it. A library record marked Client confidential is only used in bids for that client, and a case study without permission to name the client is described the way you choose, with its reference contact left out.
